Akita Comfort Club — Membership Terms
Version 1.0 · Effective 26 August 2026
1. Who we are
The Akita Comfort Club is operated by Akita Air Conditioning & Refrigeration, a company registered in England and Wales, company number 16593086, based in Sudbury, Suffolk (CO10 9SS). We are F-Gas certified and REFCOM registered (REF1023379).
You can reach us at hello@akita.ac or on 0330 043 7537.
2. What the Comfort Club is — and what it isn’t
The Comfort Club is a service and maintenance plan with member discounts. You pay a regular amount, and in return we service your system every year, waive our call-out fee, and give you a discount on any repair work.
It is not insurance, and it is not breakdown cover. It does not pay for repairs, replacement parts or replacement equipment, and it is not regulated by the Financial Conduct Authority. If your system needs a repair, we will quote for it and your member discount will be applied — but the cost of that repair is yours.
3. What’s included
- One annual service per membership year, including a full system health check, arranged by us.
- Filter clean or replacement as part of that service.
- No call-out or diagnostic fee on any visit for as long as your membership is active. Our standard call-out charge is £80, so this applies from the first visit onwards.
- 15% off any repair work we carry out for you.
- Priority booking. Members are placed ahead of non-members in our diary. We do not guarantee a specific response time.
- Manufacturer warranty administration. If you ever need to make a warranty claim, we deal with the manufacturer on your behalf and provide the servicing records they require.
4. What’s not included
- The cost of repairs, replacement parts, or replacement equipment.
- Refrigerant top-ups, other than where a leak is found to be a manufacturing fault covered by the manufacturer’s warranty.
- Faults caused by misuse, accidental or deliberate damage, tampering, pests, flooding, fire, storm, power surges or interruptions to your electricity supply.
- Work on parts of your property that are not the air conditioning system — for example electrical supply, brickwork or plasterwork.
- Systems that have been modified, serviced or repaired by someone other than us without our agreement.
- More than one annual service per membership year. Additional visits are welcome and are charged at our normal rates, with your member discount and no call-out fee.
5. Your annual service
We will contact you to arrange your annual service at a suitable point in your membership year. You need to give us reasonable access to the system.
If we offer you two reasonable appointments in a membership year and you are unable to take either, that year’s service is treated as used. We will always try to find a date that works, so please tell us if a time doesn’t suit.
Your annual service is what keeps your manufacturer’s warranty valid. If your membership lapses and a service is missed, your warranty may be affected — that is a matter between you and the manufacturer.
6. Prices
Membership is priced by the number of indoor units at your property. Each additional unit costs less than the one before:
| Indoor units | Monthly | Yearly | 5 years upfront |
|---|---|---|---|
| 1 | £14.99 | £149.90 | £599.60 |
| 2 | £22.48 | £224.80 | £899.20 |
| 3 | £28.47 | £284.70 | £1,138.80 |
| 4 | £33.46 | £334.60 | £1,338.40 |
| 5 | £37.45 | £374.50 | £1,498.00 |
All prices include VAT. If you have six or more indoor units, please call us and we will price it for you.
If the number of indoor units at your property changes, tell us and we will adjust your membership from the next payment.
7. Paying
There are three ways to pay, and you choose when you join:
- Monthly. A rolling subscription, taken on the same date each month.
- Yearly. Ten months’ worth for twelve months of membership — two months free. Renews automatically each year.
- Five years upfront. Forty months’ worth for sixty months of membership — a full year free. Paid once, and your price is fixed for the five years.
Payments are handled by Stripe. We do not store your card details ourselves. Monthly and yearly memberships renew automatically until you cancel.
8. Price changes
We may change the price of monthly and yearly memberships. If we do, we will tell you at least 30 days before the change takes effect, and you are free to cancel before it does.
Five-year upfront memberships are fixed for their full term and will not change.
9. Cancelling
Your 14-day right to change your mind. Because you joined online or over the phone, you have a legal right to cancel within 14 days of joining, for any reason, and receive a refund. If you asked us to start the service within those 14 days and we carried out a visit, we may charge you a fair amount for what we actually provided.
After that. You can cancel at any time by giving us 30 days’ notice — email hello@akita.ac or call us. For monthly and yearly memberships, we will take no further payments after your notice period ends. We do not refund part-months, and we do not refund a yearly payment part-way through its year unless we have failed to provide what you paid for.
10. Refunds on the five-year plan
If you cancel a five-year membership after the 14-day period, we will refund what you have paid for time you have not yet had, calculated on the standard monthly rate for your number of units rather than the discounted five-year rate. In plain terms: you keep the benefit of the months you have used, but the upfront discount only applies if you stay for the full term.
Where that calculation comes to zero or less, no refund is due. We will always show you the working.
11. If a payment fails
If a payment fails we will try again and let you know. If we cannot collect payment within 21 days, your membership benefits pause — the call-out waiver and repair discount stop applying — and we may end your membership. Getting the payment sorted restores everything.
12. Who can join, and where
The Comfort Club is for systems we installed. We may accept a system installed by someone else, at our discretion, after an initial inspection which is charged separately.
We cover properties within approximately 50 miles of our base at CO10 9SS. If you move outside that area, we may have to end your membership — see section 13.
13. Moving house
If you sell your property, your membership can transfer to the new owner if they want it — just tell us and we will move it across. Alternatively you can cancel under section 9.
If you move and take no system with you, cancel under section 9 and the five-year refund basis in section 10 applies.
14. Ending it from our side
We may end your membership by giving you 30 days’ notice if we can no longer safely or practically service your system, if your property falls outside our service area, or if payment cannot be collected. If we end your membership for any reason other than non-payment, we will refund the unused portion of what you have paid, calculated as in section 10.
We may also end a membership immediately where there has been abuse of our staff.
15. If something goes wrong
Please tell us — email hello@akita.ac or call 0330 043 7537. We will acknowledge your complaint within 5 working days and aim to resolve it within 28 days.
Nothing in these terms affects your statutory rights under the Consumer Rights Act 2015, which requires us to carry out any service with reasonable care and skill.
16. The legal bits
These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction.
We may update these terms. If we make a material change, we will tell you at least 30 days beforehand and you may cancel if you do not accept it. The version and date at the top of this page tell you which terms currently apply.
Your membership is personal to you and the property it covers, and cannot be transferred except as set out in section 13.
